Client Services & Operations Manager

At this time, we are seeking applicants with financial services industry experience (ie. RIA, wealth management, custodian, family office, etc.)
––

The Client Services & Operations Manager sits at the heart of our Operations team as both an individual contributor and a people leader

As an individual contributor, you’ll roll up your sleeves to handle meaningful client work and take the day-to-day operational tasks off advisors’ plates so they can focus on deep planning and connection.

As a people leader, you will guide our small, dedicated Ops Team who keeps our back‑office running smoothly. You’ll make sure the operational side of the business is delivering quality work on time with a high degree of accuracy and care, and you’ll help build the systems that make great client experiences possible. If you enjoy supporting and leading others, finding ways to improve how work gets done, and building new systems and processes to make everything run more smoothly, we’d love to meet you!

The starting salary range for this role is $110,000 – $120,000 for candidates who meet the criteria below. Actual base pay will reflect the candidate's skills, experience, and our commitment to internal pay parity.

What to expect in this role:

Direct Client Service Work

  • Manage account openings, transfers, distributions, money movement, and ongoing account maintenance for a group of clients and advisors.
  • Act as the escalation point for team-wide operations-related questions, making judgment calls on transfers, rollovers, distributions, and transfer exceptions, and handling CRM or custodial tasks that advisors and service staff route your way.
  • Maintain custodian relationships and follow through on escalated items until they’re fully resolved.

Team Leadership and Workload Management

  • Maintain a clear picture of both team-wide and individual workloads, open requests, and aging items. Help guide your teammates in prioritizing tasks based on urgency, and delegate effectively when needed.
  • Run team check‑ins to surface obstacles early, share what’s working, and keep everyone connected across a remote, multi‑state team.
  • Coach and give timely feedback to your team members through regular one‑on‑ones and quarterly development check-ins.
  • Plan coverage for time off, leaves, and busy periods so client work keeps moving and nothing sits unattended.
  • Hire and onboard teammates and keep training materials fresh so new team members can get up to speed smoothly and consistently.

Process, Systems, and Standards

  • Build and maintain Ops-related processes by creating new workflows (in Salesforce) and keeping existing ones updated, clear, and easy for the team to use.
  • Maintain documentation standards by keeping client records accurate, clean, and compliant in both our CRM and client files, and supporting any reviews or audits.
  • Administer the phone system by managing the firm’s Ooma setup, ensuring consistent client phone coverage, and handling internal issues or updates as they come up.
  • Evaluate cross‑team handoffs in workflows so work moves smoothly between Operations, Advisory, Investment and Tax without confusion about who owns what.
  • Improve processes by spotting friction, tightening workflows, and evaluating new tools that would make the work easier.
  • Manage compliance‑related bulk communications to clients (delivered through the CRM) on behalf of advisors or the firm.

What makes you a great fit:

  • Financial services experience. You've worked in an operations role within financial services, such as at an RIA, wealth management firm, bank, or family office.
  • Team leadership. You enjoy guiding a small team, providing clarity, coaching, and accountability to help others do their best work.
  • Advisor support. You understand how essential Operations is to advisor capacity and take pride in work that completes the loop with clients.
  • Accountability. You reliability and consistently follow through, keep things moving, and make sure the work gets done right. People know they can count on you to close the loop and handle essential tasks without needing to be chased.
  • Ops Excellence. You keep systems tight, catch the details others might miss, and make sure work moves through with accuracy, timeliness, and care.
  • Process improvement. You spot where workflows can run better, and you enjoy tightening systems and bringing clarity so the team’s work moves forward more smoothly and consistently.
  • 5+ years experience in operations, client service, financial services support, or a similar role where accuracy, workflow management, and follow‑through are core responsibilities.
  • Minimum of 1-2 years in a people management role
  • Bachelor’s degree required

(Bonus) What makes you an even better fit:

  • Experience with Fidelity as a custodian
  • Experience with Salesforce, Practifi, or similar CRMs
  • Experience, or comfortability with, working in a fully remote setting
  • Values-alignment. You find meaning in helping our clients align their money with companies and causes that positively impact our communities and planet.

Associate Advisor

We are not currently hiring for this role, however if you are an aspiring financial advisor and would like to learn about our Associate Advisor apprenticeship program, we’d love to hear from you. Please email [email protected](opens in new tab) with your resume and a brief note about yourself.

This fully-remote role is an apprenticeship designed to help you grow into a skilled and values aligned financial planner. You’ll work closely alongside an experienced advisor while you participate in client meetings, support meeting preparation and follow‑up work, and learn what it means to serve clients the Chicory Wealth way. If you’re ready to build on your experience and grow in a supportive, mission‑driven environment, we’d love to meet you. This position has a starting salary of $70,000, with the potential to advance quickly.

What to expect in this role:

  • During your time as an associate, you’ll learn not only the technical foundations of financial planning from our team of experienced advisors, but also the distinctive ways Chicory approaches this profession through an ethical and socially responsible lens.
  • You will work daily in Practifi (our CRM), eMoney (our financial planning software), Orion, Box, G Suite, Google Meet, and other tools. Comfort with change and new technology is essential.
  • You will work directly with advisors on your team, partner with them in preparing for client meetings and creating seamless experiences for clients, participate in those meetings, and be responsible for completing all follow‑up work accurately and on time.
  • Our associates are taught to work with clients and prospects in a caring, supportive, and values‑aligned manner. You’ll be trained in our Integrating Money and Meaning process, which brings together a client’s values and heart goals with their financial life.
  • Our associates are the “air traffic controllers” of client processes—you won’t be expected to know how to do every task on day one, but you will be responsible for ensuring that everything moves forward and is completed on time.

What makes you a great fit:

  • The ideal candidate has already passed the CFP® exam, though we will also consider candidates who are actively working toward it. Candidates who have not yet earned the CFP® designation will need a Series 65 license or be ready to sit for the exam.
  • Strong written and verbal communication skills. You’ll collaborate closely with lead advisors and engage with clients in a clear, caring, and professional manner.
  • Intellectual and emotional curiosity. You should genuinely enjoy listening to the details of a client’s life and be engaged in understanding their story, their values, and what matters most to them.
  • Alignment with Our Mantra. We hope you’ll embrace and embody these principles as you become an integral part of our growing team.
  • A commitment to people and the planet. As a certified B Corp, we look for team members who share our belief in using business as a force for good.
  • Prior professional experience, whether in financial services or another field, is always valuable and welcomed.
